In all other countries call 00-1-615-432-4848. ----------------------------------------------------------------------------- PRODUCT DESCRIPTION ----------------------------------------------------------------------------- This version, 4.4.1, provides cosmetic changes to dialog boxes which display the Helmsman support desk number. REGARDING PRIOR RELEASE 4.4 This release offers a single new feature, the support of Verity 4.0.3. Helmsman 4.4 can open document collections created with the old version of Verity, 2.1, as well as collections made with version 4.0.3. These collections can be opened simultaneously or singly. No user intervention is required. Simply direct the application to the collection data source, and the collections will open. The following resolutions and features were incorporated into Helmsman 4.3.1 and have been included in this Helmsman 4.4 readme file for convenience. -- DEFECT RESOLUTIONS -- 1. The Set Categories feature has been improved for complex combinations. 2. The Helmsman Zone Print plug-in for Acrobat (not Reader) had a bug which caused the inability to display bookmark trees for some documents. 3. The email address for sending user feedback to the Helmsman support staff was not functional. Helmsman setup will set the address to helmsupt@nortelnetworks.com. -- FEATURES -- 1. Acrobat Reader NOTE: Acrobat Reader 6.0 is not distributed with Helmsman 4.4, due to incompatibilities beyond out control. For details, see "Known Issues" below. Reader 5.1 is shipped with Helmsman 4.4, which may be optionally installed during the Helmsman setup process. Acrobat Reader silent setup is not supported and user interaction is required to complete the installation. No software key or license is required. 2. Helmsman data source is requested during setup. A list of available system drives willbe displayed. Select the drive on which your Helmsman collections will be stored or accessed. The chosen drive will be configured in the Helmsman preferences. 3. Zone Print plug-in is enabled for use with Reader. It is installed automatically by Helmsman 4.4 setup. 4. Plug-in Default View Mode Helmsman setup will set the default viewing mode to plug-in. Documents will be viewed in the Helmsman window. The viewing mode can be changed to Helper, from the Helmsman preferences dialog. 5. Email The email composition dialog has been modified: - The submitter button is no longer visible. Mail cannot be automatically addressed to a document submitter. - A new read-only text field next to the support button indicates the destination address of the Helmsman support desk. This is automatically set in the registry by Helmsman setup. Radio button choices for mail destination are: - Helmsman support desk - alternate destination defined by the user. 6. Search Occurences The Helmsman Search Occurences dialog works differently for Acrobat vs Reader, which does not support the Goto page function. -- Search Occurences Dialog with Acrobat -- The search occurences dialog works as with previous versions of Helmsman. 1. Clicking Goto Page opens the document to the page with the first search hit. 2. Double clicking a search occurence in the list will open the document to the selected page. 3. Viewing method set for Plug-in: The Previous and Next arrow buttons are hidden. The button named "Goto Page" is named "Open". Click this button to open the document to the first page containing search hits. -- Search Occurences Dialog with Acrobat Reader -- The Previous and Next arrow buttons are hidden. The button named "Goto Page" is named "Open". Documents are opened by either clicking a search occurence in the list, or by clicking the Open button. When opening a document, 1. viewing mode helper: the document will open to page one, and no search hilites will appear anywhere in the document. 2. viewing mode plug-in: the document will open the first page with search hits, and hilites will appear throughout the document. ----------------------------------------------------------------------------- INSTALLATION INSTRUCTIONS ----------------------------------------------------------------------------- Adobe recommends that all prior versions of Acrobat Reader and Exchange be manually uninstalled. Helmsman setup does not perform this for the user. Use the Windows "Add/Remove Programs" tool, found in the Windows Control panel. You must have administrator privileges to install this software on Windows NT and 2000. If you do not have administrator privileges, the setup program will issue a warning, and then will exit. Helmsman and Acrobat Installation 1) If the target machine has a previous version of Helmsman, then it should be removed with the Windows Add/Remove utility in the Windows control panel. 2) The location of the Helmsman setup program depends on which type of Helmsman disc you have: - CD containing only the Helmsman software: \Windows\setup.exe - CD containing the Helmsman software plus document collections: \software\Windows\setup.exe 3) In the Windows directory, double-click on setup.exe to begin the setup for Helmsman 4.4 and Acrobat Reader. 4) When setup begins, you will see a language choice dialog. Choose a language for installation of Helmsman and Acrobat (English or French). Both applications will be installed in the chosen language. 5) Follow the installation prompts to completion. 6) Acrobat Installation If the target machine does not have a valid installation of Acrobat or Reader, the Helmsman setup will offer to run Reader setup. This is optional. Acrobat File Decompression The Acrobat 6.0 setup is different from prior versions, in that it performs file decompression before the actual setup appears. The decompression progress is displayed in a small dialog box, overlaying the Helmsman setup window. Depending on the speed of the target machine, the Helmsman setup, (running in the background), may complete before the Reader decompression completes. During decompression, if you see the Helmsman "setup complete" dialog in the background, you can click the Finish button to close it, without distrurbing the Reader decompression or application setup. ----------------------------------------------------------------------------- RUNNING THE APPLICATION ----------------------------------------------------------------------------- To run the Helmsman Windows Client 4.4: Desktop: double click the Helmsman 4.4 icon. Start Menu: Select Start... Programs... Helmsman... Helmsman 4.4 ----------------------------------------------------------------------------- KNOWN ISSUES ----------------------------------------------------------------------------- 1) Show Me Movies Usually, the Helmsman Show Me movies will start automatically when invokedfrom the help system. If a movie does not start, the user can start it manually by clicking the motion controls in the movie player. 2) The page list in the Search Occurrences dialog is not updated when going to the next or previous document using the arrow buttons in the toolbar or the Next/Previous Document menu items. 3) In same sentence search results are inconsistent - 3rd party Verity. 4) Hits/documents are being omitted in some searches - 3rd Party -- Verity. 5) Invalid hits are being included in some searches -- 3rd Party -- Verity. 6) When multiple set categories are selected using multiple collections, results are incorrect. 7) Any changes the user makes to the column widths in the document list are lost when a new collection is opened. 8) In the Language Preferences, the two language choices always appear as "English" and "French", they are not translated when running Helmsman in French. 9) Using Acrobat Reader as a helper, opening docs to any page based on selected search occurrences does not work. The document is always opened to the first page. 10) Trying to save an invalid server address makes Helmsman act as if it's locked up. 11) Attempting to open a doc to 1st page always does not work using the full version of Acrobat (not Reader). The document is always opened to the first page with search occurrences - 3rd party Adobe. 12) Acrobat Reader 6.0 We strongly advise against using Reader 6.0. When used in plug-in viewer mode with Helmsman, Reader 6.0 has trouble paging through some documents. This will result both Reader and Helmsman becoming "wedged" or "frozen", and the system processor will show 100% activity in the resource meter or task list. The solution to system freeze with Reader 6.0 is to invoke the system task list, and end the AcroRd32.exe process. The solution for Reader 6.0, is to completely uninstall it, and run the Reader 5.1 setup from the Helmsman distribution CDROM, or obtain Reader 5.1 from www.adobe.com. ----------------------------------------------------------------------------- MISCELLANEOUS NOTES ----------------------------------------------------------------------------- UNINSTALLATION The 4.4 setup does not scan for or uninstall old Helmsman versions. If you have an older version of Helmsman, you should manually uninstall before installing Helmsman 4.4. Use the Windows Add/Remove utility in the Control Panel. ACROBAT VIEWER TYPE "Reader" refers to the free Acrobat Reader. "Acrobat" refers to the full-featured Acrobat which is not free. Helmsman 4.4 setup only includes Acrobat Reader; it does not include a full-feature version of Acrobat. ACROBAT PLUG-INS If your Helmsman installation uses Reader, you will lose the search highlighting feature when running Reader as a helper application. Search highlights continue to work when reader is used as a plug-in. ACROBAT SILENT SETUP Helmsman 4.4 setup does not provide silent Acrobat or Reader setup. ----------------------------------------------------------------------------- INSTALLING ACROBAT ----------------------------------------------------------------------------- 1) Locked Acrobat File The Helmsman 4.4 setup searches the system for Acrobat PDFWriter. If a running instance of PDFWriter is found, the setup will issue this message: "An Acrobat file is in use and is locked. Please re-start the machine before attempting to install Helmsman" This is necessary, because Acrobat cannot be installed if the PDFWriter is busy. You must restart the machine, and then run the Helmsman/Acrobat setup again. 2) Is Acrobat Already Installed? The 4.4 Helmsman setup searches for Acrobat. Before setup begins copying files, it reports whether or not Acrobat has been found. One of the following actions may be taken: 2.1) If Acrobat 5 is already installed, the Helmsman setup will not install any other Acrobat products. 2.2) If Acrobat 5 is not installed, the Helmsman setup will offer to install Acrobat Reader for you. 2.3) If an Acrobat version less than 5 is installed, the Helmsman setup will offer to install Acrobat Reader for you. NOTE: if the target machine already has Acrobat 4.x, the installation of Reader will have no effect on Acrobat. Due to system default settings, PDF documents will still be opened by Acrobat, not by Reader. 3) Which Language Choice? When you run Helmsman 4.4 setup, you must choose either English or French, from a language choice dialog displayed at the beginning of the setup. Helmsman setup will install Reader with the same language chosen for Helmsman application: either English or French. 4) What About Old Acrobat Software? Adobe provides instructions for the installation of Acrobat products. Please refer to your Acrobat documentation, readme files, or www.adobe.com for details. ACROBAT PLUG-IN MODULES Helmsman provides certain Acrobat plug-in modules, which enhance the use of Acrobat. The Helmsman setup will copy the plug-ins to the proper Acrobat subdirectory. The plug-ins are backed up in the "plug_ins" directory, found in the Helmsman home directory. Installation location and purpose of Helmsman/Acrobat plug-ins Module: Helmant32.api (acrobat plug-in) Location: Acrobat plug_ins directory. Purpose: Acrobat Exchange external annotation support. Module: Helmbkmk32.api (acrobat plug-in) Location: Acrobat plug_ins directory. Purpose: Acrobat Exchange external bookmark support. Module: helmzp32.api (acrobat plug-in) Location: Acrobat plug_ins directory. Purpose: Acrobat Exchange zone printing. Module: HAEvents.api (acrobat plug-in) Location: Acrobat plug_ins directory. Purpose: Acrobat Exchange communication with Helmsman Module: HAESvr.dll (system file) Location: system directory Purpose: Acrobat Exchange communication with Helmsman.
